A Discarded Printout Can Outlive Its Business Purpose

A permit copy, shift note, visitor list, equipment label or marked-up drawing may look harmless after the task is finished, yet it can still reveal names, routines, access arrangements, asset details and operational weaknesses. Putting sensitive material in an ordinary bin or leaving it beside a printer transfers that information beyond the controls that protected it during use. Secure disposal is therefore the final step in the information lifecycle, not a housekeeping preference.

Controls to confirm

  • Minimise printing and physical copies, collect documents promptly from shared printers, and keep working papers, labels and removable media under the access controls required for their information classification.
  • Place sensitive paper only in the approved locked confidential-waste container or use the authorised destruction method; remove or securely destroy identifying labels and data-bearing media before equipment, packaging or materials leave controlled custody.
  • Verify that confidential-waste containers remain secure and that collection follows the approved chain of custody; report misplaced documents, exposed labels, overflowing bins or suspected unauthorised disposal immediately through the security process.
